Appointment Reminder and Digital Registration FAQ

Never miss an appointment again and save time at check-in.

Text or email appointment confirmations, reminders and digital registration, are ways to help you prepare for your appointment and save time at check-in.

What are appointment confirmations and reminders?

Confirmations are sent to you soon after you schedule an appointment. A separate confirmation message is delivered for each appointment that is scheduled and includes:

• Patient first name
• Date
• Time
• Provider
• Phone number

Text messages will come from "75442" with a link to checkin.marshfieldclinic-mail.org

Emails will come from "Marshfield Clinic noreply@checkin.marshfieldclinic.org

Reminders are sent to you two to three days prior to your appointment dates. You will receive a reminder message that includes:
• Patient first name
• Date
• Time
• Provider
• A link to confirm or cancel your appointment and complete pre-registration forms

For multiple appointments booked on the same day, you will receive one text reminder that includes all of the above information.

Once you confirm your appointment and complete pre-registration forms then you will receive:
• Facility
• Facility address
• Check in location
• Phone number
• Applicable appointment instructions

If you have not confirmed your appointment and completed your pre-registration forms, you will receive another reminder approximately 24 hours after the first message.

All patients will receive a final reminder two to four hours prior to their appointment.

What is digital registration?

Digital registration is a process that allows you to fill in your pre-appointment forms online prior to checking in for your appointment. Based on the method you choose, you will receive a text and/or email to complete any necessary forms and check that all existing information is correct. You can complete your digital registration when it’s convenient for you.

You will continue to receive text message and email notifications until your registration is complete.

If you have digitally registered before your appointment, you can proceed to the front desk to let staff know you have arrived.

How will you receive these notifications?

Appointment confirmations and reminders are sent with digital registration information. They are sent via mobile text or email, based on the method you choose or what information we have on file for you.

Do all patients receive electronic confirmations and reminders?

If no valid mobile phone or email is on file at the time of appointment registration, patients will be asked by registration staff what their preferred reminder contact method is. They will then be enrolled in electronic confirmations and reminders.

Patients already enrolled in an appointment reminder process will remain enrolled unless they update their preference with registration staff.

Patients can choose to receive reminder letters as their preferred communication. If they are opted into letters, no digital communication will be sent.

Can you update how you receive your notifications?

Yes – it's a very simple process.

To update your preferred reminder contact method, talk to a scheduling or registration staff member.
If you are receiving text notifications and would like them to stop — just text STOP to any message from 75442 (Marshfield Clinic Health System).
If you previously received text notifications, replied STOP and would like to start receiving the notifications again — text START to 75442 (Marshfield Clinic Health System) to begin the opt-in process to receive notifications via text.
If you are looking to stop receiving email notifications — click the 'Unsubscribe (patientsemail@email.com)' link located at the bottom of any email received from noreply@checkin@marshfieldclinic.org.
If you previously received an email to enroll, clicked 'Unsubscribe from email' and would like to enroll again — click the 'Resubscribe (patientsemail@email.com)' link located at the bottom of any email from noreply@checkin@marshfieldclinic.org..
If you send a response you didn't mean to send — call the phone number provided in the text message and email.

Can you have more than one communication method for their notifications?

If a valid email and phone number is on file with registration, patients will receive digital reminders to both channels. If patients only have a valid email or phone number on file, they will receive a reminder to the contact information on file.

If no digital information is on file, patients will receive a letter.

That specific channel is what will be used, unless the patient changes their preference with registration or scheduling staff.

Only one option is available. Once the patient is opted in to text or email notifications that specific channel is what will be used.

If I have multiple appointments, how can I cancel/reschedule them?

Patients can cancel appointments through digital reminders. Please follow the instructions provided to cancel.

Appointments cannot be rescheduled via text or email. If you need to modify appointments, please call the phone number listed.

The email was sent from noreply@checkin.marshfieldclinic.org. Is it a scam?

When will these notifications be sent?

Most appointment confirmations and reminders will be sent Monday-Friday between 7 a.m. – 8 p.m.

Why is texting or emailing not a secure form of communication?

There are limitations to the security and privacy of text and emails being sent outside of Marshfield Clinic Health System. Due to the sender of the text or email having no control over the final destination of the messages, they cannot be considered secure forms of communication. The original message could be forwarded by the intended receiver to another party or intercepted while in transit.

Why did I not receive a letter reminder for my appointment?

If you are opted in to text or email reminders, you will not receive a letter. If you are opted in to letter reminders and your appointment was made less than 10 days in the future, no reminder letter will be sent.
